Senior Executive Assistant to the President & CEO

Make an Impact Behind the Scenes and at the Centre of It All

We’re looking for an exceptional Senior Executive Assistant who doesn’t just support a CEO but amplifies their impact.

In this role, you’ll be the organizational force that keeps priorities moving, people aligned, and opportunities from slipping through the cracks. You’ll work closely with the President & CEO, Board of Directors, and Leadership Team, helping drive meaningful work forward in a fast-paced, mission-driven environment.

Position Details
  • Location: Fully Remote (Canada)
  • Travel: National and International (approximately 15–30%)
  • Contract: Permanent, Full Time
Why This Role Matters

This role sits at the intersection of leadership, governance, operations, and mission delivery. As a trusted partner to the President & CEO, you play a critical role in ensuring the organization operates with focus, alignment, and momentum. Your work directly supports effective decision-making, strong governance practices, meaningful stakeholder engagement, and the successful execution of key organizational priorities. Behind the scenes, you are helping to move mission-driven work forward by ensuring that leadership, the Board, and teams are connected, prepared, and positioned to make an impact.

 What success looks like (6-12 Months)

  • The CEO is highly supported, with priorities well-managed, meetings purposeful, and follow-through consistently achieved.
  • Board and Committee meetings are well-organized, professional, and run efficiently, with clear materials and accurate minutes.
  • Strong, trusted working relationships are established with the CEO, Board of Directors, and Leadership Team.
  • Organizational priorities and key initiatives are tracked, coordinated, and progressing as planned.
  • Events and stakeholder engagements are executed seamlessly, enhancing the organization’s reputation and impact.
What You’ll Do

Partnering with the CEO

  • Manage a complex, ever-changing calendar.
  • Coordinate meetings, priorities, and follow-ups.
  • Prepare materials and ensure nothing falls through the cracks.
  • Arrange travel and support key initiatives.

Supporting the Board

  • Coordinate Board and Committee meetings.
  • Prepare and distribute professional Board materials.
  • Capture clear, accurate meeting minutes.
  • Help maintain strong governance practices.

Driving Events & Engagement

  • Support planning and execution of high-impact events.
  • Coordinate vendors, logistics, and timelines.
  • Track deliverables and keep everything on schedule.
  • Support donor, sponsor, and stakeholder engagement.

Keeping Operations Running Smoothly

  • Support internal coordination across teams.
  • Assist with travel, meetings, and special projects.
  • Monitor communications and ensure timely responses.
What You Bring
  • 3–5+ years of experience supporting senior leaders
  • Exceptional organization and attention to detail
  • Strong judgment, discretion, and professionalism
  • Ability to manage multiple priorities without dropping the ball
  • Confidence working with senior stakeholders and Board members
  • Tech-savviness (Microsoft Office, collaboration tools, CRM systems)
  • Ability to meet all national and international travel requirements.

It’s an asset if you have:

  • Experience in a non-profit or mission-driven organization
  • Experience supporting Boards or governance structures
